Privacy Policy

This policy explains what personal data the MGIT Alumni Portal (alumni.mgit.ac.in) collects, why, who can see it, how long it is kept, and the choices and rights you have. The portal is run by Mahatma Gandhi Institute of Technology (MGIT), Gandipet, Hyderabad, Telangana 500075 (“MGIT”, “we”).

We handle personal data in line with India’s Digital Personal Data Protection Act, 2023. MGIT is the Data Fiduciary for the data on this portal.

What we collect

When you register

  • Full name, email address, mobile number and password (stored only in scrambled, one-way form that nobody can read).
  • Roll number (hall ticket number), programme, department, year of admission and year of graduation.
  • What you do now, organisation, designation, city and country, and optionally your LinkedIn profile.
  • The date and time you gave consent.

When you complete your profile

Anything you choose to add: profile photo, state, industry, higher education, a short “About me”, skills, areas of expertise, website, and whether you are available to mentor students.

When you use the portal

  • Your responses to events (Going, Maybe, Not going) and whether you attended.
  • Achievements and job posts you submit, and our review decisions.
  • Survey answers. For anonymous surveys we do not store who answered.
  • Your privacy and email preferences.
  • The date of your last login, and technical records needed for security, such as the network address used for failed logins and for staff actions.

We do not ask for sensitive information such as religion, caste, health or financial details, and you should not add it to your profile.

Why we use it

  • To check that you are an MGIT graduate before activating your account, by comparing your details with college records.
  • To place you in your batch and department alumni circles.
  • To run the alumni directory, events, achievements, careers, surveys and announcements.
  • To send you emails about your account (verification, approval, password resets, event registrations and reminders) and, unless you opt out, alumni announcements.
  • To produce statistics for MGIT, such as how many alumni work in each industry. Statistics never identify individuals.
  • To keep the portal secure and to investigate misuse.

We do not sell your data, use it for advertising, or share it with companies for their marketing.

Who can see your data

  • Other verified alumni see your name, department and batch. You decide who sees each other part of your profile (only you, your batch, your department, all verified alumni or, for some parts, everyone) under My Account, Privacy. Your email address and mobile number are never shown publicly.
  • Visitors who are not logged in cannot open the alumni directory. They only see what you choose to make public, and achievements you agreed to publish. If you set your profile photo to “Anyone”, your photo, name, department and batch may appear under “Latest members” on the homepage.
  • Department alumni coordinators (MGIT faculty) see the full records of alumni of their own department only, to verify registrations and run department activities.
  • Alumni office administrators can see all records to run the portal.
  • Every staff action on alumni records is recorded in an audit log.

Service providers

We use a small number of providers to run the portal, under their own security and privacy terms:

  • Amazon Web Services (AWS) hosts the portal and its backups in the Mumbai region, India.
  • Google Workspace sends the portal’s emails from alumni@mgit.ac.in.
  • Google Fonts supplies the website’s typefaces, so your browser contacts Google when pages load.
  • YouTube plays videos embedded in gallery albums, if you choose to play them.

Cookies

The portal uses only the cookies it needs: WordPress login cookies to keep you signed in, and, for staff who choose it, a cookie that remembers a trusted browser for 30 days. We do not use advertising or tracking cookies.

How long we keep data

  • Your account and profile are kept while you remain a member of the alumni network.
  • If you ask us to delete your account, we remove your profile, photo and account. We may keep a minimal record (name, roll number, department and batch) because MGIT already holds it as part of its academic records.
  • Audit and security records are kept for as long as needed to protect the portal and meet legal obligations.
  • Backup copies of the portal are kept for up to 60 days and then deleted automatically.

Your choices and rights

  • See and correct your data: most details can be changed in My Account. Verified details (name, roll number, department, programme and years) can be corrected through a change request from My Account, Verified details.
  • Control visibility: choose who sees each part of your profile under My Account, Privacy, and preview what others see.
  • Stop announcement emails: use the link at the bottom of any announcement, or My Account, Privacy. Account emails are still sent.
  • Withdraw consent and delete your account: write to alumni@mgit.ac.in from your registered email address. We will confirm when it is done.
  • Nominate a person to exercise these rights on your behalf in the event of death or incapacity, by writing to us.
  • Raise a grievance with us at the contact below. If you are not satisfied with our response, you may approach the Data Protection Board of India.

Security

The portal uses encrypted connections (HTTPS), scrambled password storage, emailed login codes for staff, limits on repeated login attempts, department-level access controls and an audit log. No system is perfectly secure; if we learn of a personal data breach that affects you, we will inform you and the authorities as the law requires.

Children

The portal is for MGIT graduates. It is not intended for anyone under 18.

Changes to this policy

If we change this policy in a meaningful way, we will update the date at the top and tell registered alumni by email.
